## Reminder guidance for this contract type

### SOW deadlines aren't renewal deadlines

A statement of work is structured around milestones, not renewal cycles. Each milestone has a delivery date, an acceptance window, and a payment trigger that fires once acceptance is granted (or deemed). The deadlines that actually matter on a SOW are the acceptance windows — short, easy to miss, and often automatic if no objection is recorded. A useful SOW reminder fires before each acceptance window closes, not just at the contract end. Treating a SOW as a single end-date document misses the cadence of accept/pay/move-on events that drive the engagement.

### Deemed acceptance is the single biggest SOW risk

Most SOWs include a deemed acceptance clause: if the customer doesn't reject a deliverable within a specified window (usually 10 to 30 business days), it's considered accepted. Payment becomes due. Disputes become harder. The window is short, the trigger is silent, and the consequences are financial. Tracking each deliverable's acceptance window as a separate reminder — anchored to the source clause — is the cheapest way to avoid accidentally paying for work that doesn't meet specification. A change-order tracker sits alongside this for the same reason.

## Quick answers

Short answers to the questions we get most about reminder extraction.

- **Q:** How does the SOW deadline reminder work?
**A:** Upload your statement of work as a PDF or DOCX. We run an AI extraction on the document, find the milestone deliveries, acceptance period deadlines, payment triggers, and change order dates, and suggest reminder dates for each. You can then start a free Contracko trial to track everything automatically with email reminders, or just note the dates yourself.

- **Q:** What will the tool find in my statement of work?
**A:** It surfaces the milestone deliveries, acceptance period deadlines, payment triggers, and change order dates. Each item comes with the source clause from your statement of work so you can verify before you schedule anything.

- **Q:** What happens after the extraction?
**A:** You'll see a list of suggested reminders pulled from your contract, each anchored to the clause it came from. From there you can start a free Contracko trial to track them automatically with email alerts and owner assignments, or just note the dates yourself if that's all you need.

- **Q:** How accurate is the AI extraction?
**A:** Every suggested reminder is anchored to the specific clause it came from, so you can verify each one before scheduling. The extraction works best on standard business contracts. Acceptance can be 'deemed' silently after a set number of days. Make sure the acceptance windows are scheduled before that timer runs out.

- **Q:** What happens to my contract after I upload it?
**A:** Your contract is transmitted over TLS encryption and processed by AI providers under terms that exclude training on your data. If you start a Contracko trial, the file moves into your private workspace and stays there.
