Tracking vendor COIs is a compliance job, not a calendar entry

A certificate of insurance proves a vendor carries the coverage your contract requires. The catch is that COIs expire, usually annually, and the vendor has no incentive to send you the renewal proactively. So the burden falls on you to chase it before the old one lapses. Let it slip and an uninsured subcontractor may keep working on your sites or systems, quietly transferring their risk onto you. Worse, your own customers and lenders often require you to evidence that every vendor is insured, so a stale COI becomes your compliance failure, not just the vendor's.

The gap forms in the days before expiry

COI lapses are almost always a timing problem, not a coverage problem. The vendor renews their policy, but the certificate proving it sits on someone's desk while the old one on file expires. The fix is lead time: request the renewed certificate weeks before the current one ends, verify the limits and additional-insured wording still match the contract, and only then reset the clock. A reminder that triggers the collection well ahead of expiry, and escalates if the vendor is slow, is what closes the window where you are technically exposed.
