Understanding Contracko's pricing model

Contracko charges based on the value we deliver to your business, not the number of people on your team. Instead of per-seat pricing that penalizes growing teams, we charge based on the number of active contracts you track in our platform.

Why we don't charge per seat

Most SaaS platforms charge per user, which means small businesses and freelancers pay more as their teams grow. We believe this is unfair. Your contract management needs don't necessarily scale with team size—they scale with the number of contracts you need to manage.

Our pricing reflects the value we deliver: helping you reduce costs, save time, and minimize liability through better contract tracking.

Active contracts vs archived contracts

The core of our pricing model is the distinction between active and archived contracts.

Active contracts:

  • Receive automatic date adjustments based on renewal periods
  • Send notifications and reminders
  • Allow full editing and management
  • Count toward your plan's active contract quota

Archived contracts:

  • Store contract files for record-keeping
  • Cannot be edited
  • Do not send notifications
  • Do not have dates automatically adjusted
  • Count toward your plan's archived contract quota (equal to active quota)

How contract states work

Auto-renewing contracts:

When a contract has auto-renewal enabled, Contracko automatically shifts all relevant dates forward based on the renewal period when the end date passes. This keeps your contract tracking current without manual updates.

Non-renewing contracts:

When a contract without auto-renewal reaches its end date, Contracko automatically terminates it. You can then choose to archive it if you want to keep the files for posterity.

Using the archive feature

The typical workflow is to track active contracts until they end, then archive them to free up space in your active contract quota while retaining all files and data for your records.

When to archive a contract:

  • After you've given notice and terminated the relationship
  • When a non-renewing contract expires
  • When you want to store historical contracts for compliance or reference

Archive quota:

Every plan includes an identical quota for archived contracts as active contracts. For example, if your plan includes 50 active contracts, you also get 50 archived contract slots.

File storage limits

Each plan includes generous file storage limits for both primary contract files and supporting documents like addenda, spreadsheets, and related materials.

Storage limits are designed to be practical—you're unlikely to reach them in normal use. You can attach multiple files to each contract without worrying about hitting storage caps.

Unlimited users and notifications

Unlike per-seat pricing models, Contracko includes unlimited users on all plans. Add your entire team without increasing your subscription cost.

Email notifications are also unlimited. Set up as many reminders and notifications as you need across all your contracts without worrying about additional charges.

Annual vs monthly pricing

We encourage annual subscriptions by offering a discount compared to monthly billing. Annual plans provide better value while giving us the predictable revenue to continue building features you need.

Value alignment

Our pricing philosophy is simple: the cost of Contracko should be far less than the value you receive. Most customers save more on their first cancelled auto-renewal than they spend on Contracko all year.

By charging based on active contracts rather than users, we align our success with yours. As you grow your team, your costs stay predictable and fair.

Tips

Plan for growth - Choose a plan based on your expected number of active contracts over the next year, not just current needs. You can always upgrade if you grow faster than expected.

Archive strategically - Don't delete old contracts. Archive them to maintain a complete history while managing your active contract quota efficiently.

Review annually - When auto-renewing contracts come up for renewal, review whether you still need them. Cancelling unnecessary contracts can save far more than the cost of Contracko itself.
